Buyer FAQ

Questions buyers actually ask

Thirty-one answers to the things that come up before a first order — MOQ, samples, lead time, compliance, payment and what happens when something goes wrong. Each answer opens with the conclusion, then the conditions.

01

Ordering & MOQ

What is your minimum order quantity?

200 bottles per shade, and shades can be mixed inside one order. Below that, the per-shade setup cost stops making sense. Bulk gel starts at 5 kg per drum.

Can I start with a small trial order?

Yes. A market test of 6–12 shades at 100–200 bottles each is the normal first order. Only custom moulds and custom packaging need real volume.

Do you charge for samples?

Yes — USD 1 per bottle per shade, at cost. The full amount is credited against your first production order once the contract is signed.

Can you ship samples to my country?

Yes, to any destination that accepts courier delivery. Freight is paid by the buyer and is not part of the credit.

How long does a custom shade match take?

10–15 days, including two rounds of adjustment. Send a physical colour reference — a screen colour cannot be matched against.

Can I mix shades in one order?

Yes. One order can carry as many shades as you like, as long as each shade meets the 200-bottle floor.

02

OEM / ODM / Private Label

Do you support OEM and ODM?

Both. OEM means your formula on our line. ODM means our proven formula under your brand. Private label sits between the two.

What is the difference between white label, private label and OEM?

White label: our formula, our bottle, your sticker. Private label: our formula, your bottle and box. OEM: your formula entirely.

Can you develop a formula from scratch?

Yes, but it is the longest route and the only one where the formula belongs to you. It needs development time plus stability testing before anything ships.

Who owns the formula?

For ODM and white label, we do. For OEM and custom development, ownership is written into the contract before work starts.

03

Lead Time & Shipping

What is your standard lead time?

25–35 days after deposit for 200–2,000 bottles per shade. Private label printing and assembly add another 10–15 days.

What affects lead time the most?

Custom colour matching, custom packaging, and the weeks before Chinese New Year. Standard bottles and stock shades move fastest.

Do you handle export documents?

Yes. MSDS, non-dangerous goods declaration, commercial invoice and packing list are prepared in parallel with production. Freight is quoted separately, FOB or CIF.

Can you ship directly to Amazon FBA or a 3PL?

Yes. FBA and 3PL delivery are both supported; the buyer confirms and pays the destination charges. Send the warehouse address and labelling rules before production.

04

Compliance & Documentation

Is your factory GMP certified?

Yes. ISO 22716 Cosmetics GMP certified by SGS, plus a Chinese Cosmetics Production Licence (粤妆20260015). Both are listed on our company information page.

Can you support EU market entry?

We supply the technical file: MSDS, stability report, heavy metals test, ISO 22716 and the CPNP notification number. The EU Responsible Person must be yours or your importer's.

Is your gel HEMA-free?

HEMA-free and TMPTA-free across the reformulated range. TPO has been removed entirely and replaced with TMO — not reduced, removed.

Do you provide a COA with each batch?

Yes. A certificate of analysis ships with every batch, covering colour tolerance (ΔE ≤ 1.5) and fill volume (±2% on a 15 ml bottle).

Can I audit the factory or send a third party?

Yes, with advance notice. Agree in writing who pays if the inspection fails — that clause matters more than the inspection itself.

05

Quality & After-Sales

What happens if a batch is defective?

Replacement or credit, written into the contract before the deposit is paid. Quality claims are not settled by negotiation after the fact.

What is your colour tolerance?

ΔE ≤ 1.5 against the approved golden sample. Anything outside that is a defect, not a normal shade variation.

Do you keep retained samples?

Yes, one per batch, kept for the shelf life of the product. Retained samples are what make a claim arguable on evidence instead of memory.

How do you handle a complaint after the goods arrive?

Send photos, the batch number and the quantity affected. We check the retained sample of that batch and reply with a remedy, not a discussion.

06

Payment & Contract

What are your payment terms?

70% before production, 30% after the goods are finished and inspected. Other structures are possible once there is an order history.

Do you accept L/C?

Yes. L/C at sight is accepted alongside T/T; our standard terms remain 70/30. Confirm the issuing bank before the contract is drawn up.

Who do I sign the contract with?

Guangzhou Haixi Cosmetics Co., Ltd. — the contracting and invoicing entity. Production runs at Foshan Senyuan New Materials Co., Ltd.

Can you issue a VAT invoice?

Yes. Guangzhou Haixi Cosmetics is a general VAT taxpayer and can issue a special VAT invoice (增值税专用发票) for domestic orders.

07

Company & Capability

How long have you been making nail gel?

Twelve years in the trade since 2014, with our own plant since 2025. The experience predates the building.

How many shades do you have?

Over 10,000 shades in the colour library, far more than any card can print. Email [email protected] or leave your address and we send the card to you.

What is your production capacity?

A 3,500 m² plant. Capacity is rarely the constraint — colour matching and packaging lead times usually are.

Can I repeat-order in smaller batches later?

Yes, at the same 200-bottle-per-shade floor. Volume pricing starts where the setup cost stops mattering.
